Sharing your Diary
Why would you want to?
Have you ever had one of those situations where someone says to you “I think I’m free but I’ll need to check my *other/home/partner’s diary (*delete as applicable)”? It can be irritating when you don’t have all the information at your fingertips and, of course, the problem can also exist the other way round where your partner needs to know what you are doing. Diary sharing may help you in this respect although we don’t promise that it will resolve all those little time issues in your life. What it does do is gives you a way of sharing all or part of your MyDriveTime diary to whoever you wish.
What can I share?
We have built in different options which allow you to be very open or very guarded in your diary sharing. You can share:
- All the lessons in your diary, including tests, in detail, including the student name and the pickup location.
- All the unavailabilities on your diary including any description that you have entered.
You can restrict the information that is shown on entries:
- Instead of showing the details of the lesson, you can just identify it as a ‘Lesson’.
- You can also show it as ‘Unavailable’ if you don’t want to share that you are on a lesson.
- Instead of showing the details of the Unavailability, you can identify it as just ‘Unavailable.
- You can also exclude unavailabilities in their entirety.
So, you have options to display details of all your lessons and all your unavailabilities or show everything as ‘Unavailable’… and everything in between.
How do I do it then?
Ok, I’m convinced – how do I share my diary?
On the mobile app, from the diary, tap on the context menu and select ‘Share my Diary’. This will present your ‘Share Profiles’ if you have any, as shown below. Share profiles allow you to set up different shares for different audiences e.g., all the details for you partner and maybe just your availability, without any details, for your students.
When you have set up your share profile and save it, you are presented with a number of share options, including, but not limited to, email, WhatsApp, Facebook, Teams etc. Choose how you want to share it and with whom. You will then see the information that is going to be sent and the link that they will need to click. Feel free to change the message but do not change the link.
Your diary is now shared and can be installed by the recipient. Details of how that works is here.
What if I want to share it with multiple different people?
You can send the same share profile with other people by clicking on the context menu shown on the share profile and choosing to Share. Then select the recipient and sent it to them.
What if I want to change what I show in the diary?
You can change your share profile by choosing to edit it from the share profile context menu. Bear in mind that if you change it, it will change for all those who currently receive that share profile.
What if I want to stop someone seeing my diary?
You can revoke access simply by selecting ‘Revoke Access’ from the share profile but beware, it will revoke the profile from ALL recipients and no-one who could see your diary via this share profile will be able to do so. Although revoking the profile is immediate, anyone who had access may still be able to see old data that is cached on their device but they will not see any updates to it. There is no way for us to remove the cached copy.
